General Policies
Billing
Users will be billed the maximum of either time reserved or actual time on the instrument. For example, if the user was to book four hours and actual instrumentation time is one hour, the user will be billed for four hours. If the user books four hours and uses five, he or she will be billed for five hours.

Cancellation
If reservations are not cancelled within these times frames, you will be charged the full cost of your reservation unless another lab reserves that time.
- Reservations 4 hours or less (per day) must be cancelled or modified 24 hours (1 business day) prior to the scheduled time.
- Reservations lasting 4-7 hours (per day) must be cancelled or modified 48 hours (2 business days) prior to the scheduled time.
- Reservations lasting 7-14 hours (per day) must be cancelled or modified 72 hours (3 business days) prior to the scheduled time.
- If you have both machines reserved all day for multiple days in the same week, reservations must be cancelled or modified 5 business days prior to the first reservation.
If reservations are not cancelled within these times frames, you will be charged the full cost of your reservation unless another lab reserves that time.
Modifications
Reservations modified 24 hours prior to the reserved appointment will result in a charge reflective of the new schedule time. If reservations are modified within 24 hours of the scheduled appointment and the resulting open time from the modification does not get reserved by another user, clients will be billed for the full originally reserved time period.

Late Arrivals
- Contact the core if you are going to be more then 15 minutes late. If we have not been contacted 20 minutes after the start of your reservation we reserve the right to cancel your appointment and charge for the reserved time.
- Late arrivals interfere with subsequently scheduled activity. Users are billed from the start of the time reserved to the actual finish time, providing there are no reservations following the scheduled time.
- The next scheduled user after a late arrival has the right to start at the scheduled start time. Late users should make provisions to complete their experiment at a later available time.
Sample Quality
If a sample clogs the instruments more than once, the core will work to run the sample by re-filtering and/or diluting the sample to be able to run the sample without clogging. The core will re-filter/dilute the sample in question a MAXIMUM of 3 TIMES. If, after three attempts to run the sample, it is still clogging, the core will contact the user to suggest washing or re-filtering the sample on their time. All samples not able to be run, will be stored in the CyTOF core fridge for a maximum of 24 hours, after which they will be discarded, unless a different, mutually agreed upon arrangement is reached with the user. The core reserves the right to determine whether or not a sample is able to be run.

Inclement Weather and Massachusetts State of Emergency
In the case of inclement weather, contact the facility management via e-mail prior to setting up experiments.

The core will be closed for all official DFCI Holidays. Please check the iLab calendar for any additional holiday closures

Data Storage
The core facility will not be responsible for storing data files.

- All data will be removed from the instrument computers on the 1st of every month.
- Any IMD files will be deleted from instrument computers 48 hours after the data is uploaded to Pydio, unless we hear from you.
- Data on the Pydio server will remain there unless otherwise notified, however we very strongly recommend that you save those data files elsewhere as soon as possible.
