Billing

Users will be billed the maximum of either time reserved or actual time on the instrument. For example, if the user were to book four hours and actual instrumentation time is one hour, the user will be billed for four hours. If the user books four hours and uses five, he or she will be billed for five hours.

 
 

 

Cancellations and Modifications: must be submitted using Smartsheet cancellation / modification form

If reservations are not cancelled within these times frames, you will be charged the full cost of your reservation unless another lab reserves that time. 

  • Reservations lasting 4 hours or less  (per day) must be cancelled or modified 24 hours (1 business day) prior to the scheduled time.
  • Reservations lasting 4-6 hours           (per day) must be cancelled or modified 48 hours (2 business days) prior to the scheduled time.
  • Reservations lasting the entire day    (greater than 7 hours)  must be cancelled or modified (5 business days) prior to the scheduled time.


Reservation modifications will follow the cancellation hourly timeline.

 

 

Late Arrivals

 

  • Contact the core if you are going to be more than 15 minutes late. If we have not been contacted 20 minutes after the start of your reservation we reserve the right to cancel your appointment and charge for the reserved time.
  • Late arrivals interfere with subsequently scheduled activity. Users are billed from the start of the time reserved to the actual finish time, providing there are no reservations following the scheduled time.
  • The next scheduled user after a late arrival has the right to start at the scheduled start time. Late users should make provisions to complete their experiment at a later available time.
 

 

Sample Quality

  • ​If sample(s) clogs the instrument the core will re-filter and/or dilute the sample(s).
    • The core will re-filter/dilute the sample(s) in question ONE TIME.
    • If the instrument  clogging persists  post filtering, the core will cease running of the sample(s).

  • If samples have > 600 events per second, samples will be paused and researchers will be required to recount, and re-pellet samples to appropriate concentrations 1 million cells/mL or less (< 500 events per second).

  • Additionally, if sample(s) have excessive salt concentrationor contaminates, sample(s) will not be run.

  • All samples not able to be run will be discarded.

  • The core reserves the right to determine whether or not a sample is able to be run. 
 

 
Inclement Weather and Massachusetts State of Emergency

In the case of inclement weather, the staff will contact you via e-mail if we are unable to analyze your samples.
If DFCI is closed for inclement weather or state of emergency, the core will be closed.  DFCI Inclement Weather Hotline: 617-632-DFCI (3324).

Holidays

​The core will be closed for all official DFCI Holidays. 
 

 

Data Storage

​The core facility is not be responsible for storing data files.

  • All data will be removed from the instrument computers on the 1st of every month.
  • All LMD files will be deleted from instrument computers 48 hours after the data is emailed via Partner's Secure File Share, unless we hear from you.
  • Data will be shared via Partner's Secure File Share. The link to download your data is valid for 10 days.
